Privacy policy
What we collect, why, and how to get it removed. No selling of your information, no tracking cookies of our own.

This policy explains what HVAC On Sale ("we", "us") collects when you use hvaconsale.com, how we use it, and the choices you have. We keep it short on purpose; if anything is unclear, email hello@hvaconsale.com.
What we collect
Information you give us
- Quote and contact requests: your name, email address, phone number if you choose to give one, what you are looking for, and the details of your message.
- Email sign-ups: your email address and which form on the site you used.
- Orders: when you buy from us, your billing and shipping address, the items purchased, and payment confirmation from our payment processor. We never see or store full card numbers; those go directly to the processor.
- Correspondence: anything you send us by email, including photos of your equipment.
Information collected automatically
- Our host, Cloudflare, logs standard web request data such as your IP address, browser type, the pages you visit, the referring page and timestamps. We use this to keep the site running, block abuse and understand which pages are useful.
- When you submit a form, we record your IP address and country alongside the submission to limit spam and repeat abuse.
Cookies
The site itself sets no tracking cookies. Cloudflare may set a small number of cookies needed for security and performance. If we add analytics or advertising measurement in the future, we will update this policy and, where the law requires it, ask for your consent first.
How we use it
- To answer your questions and send you the quote you asked for.
- To process, ship and support your orders, including sharing your name, address and phone number with the freight carrier so they can schedule delivery.
- To send equipment specials and store news if you signed up for them. Every email includes an unsubscribe link.
- To register manufacturer warranties on your behalf when you ask us to.
- To keep the site secure and to detect and stop spam or fraud.
- To comply with tax, accounting and legal obligations.
Who we share it with
We do not sell or rent your personal information. We share it only with service providers who need it to do their part: our web host (Cloudflare), payment processors, freight and parcel carriers, our email service, equipment manufacturers for warranty registration, and our accountants. Each of them is permitted to use it only for the service they provide. We will also disclose information when the law requires it or to protect our rights and the safety of others.
How long we keep it
Quote and contact requests are kept for up to 2 years so we can pick up where we left off if you come back. Order records are kept for 7 years for tax and warranty purposes. Email list subscriptions are kept until you unsubscribe. Server logs are retained by Cloudflare for a short period under their own policy.
Your choices
- Unsubscribe from marketing email using the link in any message, or by emailing us.
- Access, correct or delete the personal information we hold about you by emailing hello@hvaconsale.com. We will respond within 30 days and may need to verify your identity first. We may keep order records we are legally required to retain.
- Do not track: the site does not respond to browser Do Not Track signals because it does not track you across other sites.
Residents of California, Florida and other states with consumer privacy laws have the rights described above and the right not to be discriminated against for exercising them. We do not sell personal information and do not use it for targeted advertising as those terms are defined in those laws.
Security
The site is served over HTTPS. Form submissions are stored in an access-controlled database. Payments are handled by PCI-compliant processors. No system is perfectly secure, so please do not send card numbers by email or in a contact form.
Children
The site is for adults buying HVAC equipment. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, email us and we will delete it.
Changes
If we change this policy, we will post the new version here with a new effective date. Material changes affecting information we already hold will be announced by email to affected customers.
